GEDA

GEDA for salons, clinics and services

A diary for the day. A bill for the client.

Book appointments on a calendar and mark each one confirmed, done or missed. Sell services with no stock to count, then print a numbered invoice the client can pay over several visits.

No card needed.

Example screen. Example day of four appointments with time, length, service, client and a status: completed, confirmed, scheduled and a no-show.

What a service business has to keep straight.

  • Bookings live in a paper diary, and a double booking is only found when both clients arrive.

Put each booking on a calendar with the client, the service, the time and how long it takes. Each day lists its bookings in order.

    Appointments
  • A haircut or a consultation is not something you count on a shelf.

Add services to your list with a price and no stock. The Inventory menu is renamed Services.

    Services, not stock
  • A client wants a price in writing before the work starts.

Write a quote, print it, and when they agree turn it into an invoice.

    Quotes and invoices
  • A client pays over three visits, and nobody remembers what is left.

Record each payment on the invoice. It shows partially paid and the balance due until it is settled.

    Quotes and invoices
  • At month end you cannot say what came in and what went out.

Log expenses and income in one journal and read the month's net profit.

    The month

Every booking for the day, in order.

Book a client for a service at a time, with the length of the visit. The day view lists each booking with its status, and one tap moves it along.

  • Name, phone, service, date, time and duration on every booking
  • Confirm, complete, reschedule, mark a no-show or cancel
  • Five statuses: scheduled, confirmed, completed, cancelled and no-show
  • Filter a day by status to see what is still to do
Example screen. Example day of four appointments with time, length, service, client and a status: completed, confirmed, scheduled and a no-show.

Sell the work. Count stock only if you want to.

A service has a name and a price and nothing to run out of. Set your shop up as a services shop and the catalogue leads with services, with the stock-only screens tucked away.

  • Mark a product as a service: no stock is counted for it
  • The Inventory menu reads Services on a services shop
  • Stock-only screens are hidden from that menu
  • Still sell shampoo or supplies: stocked products work beside services
Example screen. Example services list of three services, each with a price and no stock count, plus one stocked product with a quantity for comparison.

A quote first, then an invoice paid in instalments.

Number a quote, print it, and convert it when the client says yes. Record payments as they arrive. The invoice prints on one page and shows exactly what is still due.

  • Quotes and invoices are numbered documents
  • Turn a quote into an invoice
  • Part payments leave the invoice partially paid, with the balance due
  • Print an invoice for the client
  • A client who buys on credit keeps a running balance
Example screen. Example invoice INV-0012 for five thousand Leones, two thousand paid so far and three thousand still due, marked partially paid.

What came in, what went out, what's left.

Log rent, supplies and drawings as they happen. At month end the finance screen shows net profit, and roles keep it in the right hands.

  • Expenses, income and owner drawings in one journal
  • Net profit for the month
  • Owner, manager and cashier roles decide who sees what
Example screen. Example month summary on a dark card: sales, expenses and net profit, with a bar for each day of the week.

Questions owners ask.

Can I take bookings?

Yes. Staff book appointments on a calendar and move each one through confirmed, completed, cancelled or no-show.

Do I have to enter stock?

Not for services. A service has no stock count. If you also sell products, those can be stocked as usual.

Can I invoice a company?

Yes. Make a numbered invoice, record payments as they come in, and print it.

Can clients book themselves online?

Not yet. Bookings are entered by your staff.

Does it remind clients about their appointment?

No. Nothing is sent to clients today, so keep calling or messaging them yourself.
